Administrative Guidelines for Students

The Office of Undergraduate Medical Education is located across from Erlanger Hospital in the Whitehall Building, Suite 104. If someone needs to reach a medical student by phone during a rotation, they should call the student's personal phone or call the UME Office (423.778.7442) in case of emergency.Ìý

Erlanger Procedures
Students must complete a Biographical Information Form prior to the first day of the rotation. Each student will be issued the following during orientation:

  • Erlanger photo ID badge to be worn throughout the rotation (Note: lost badges will incur a $5 replacement fee);
  • Erlanger parking tag and a security access card to allow access to various secure areas in the hospital, including the Medical Library;
  • Erlanger IT login/password for the hospital computer system (for patient care information)

Erlanger Fitness Room
Students may use the Erlanger Employee Fitness Room (2nd floor, Erlanger Medical Mall via Elevator A).Ìý The room is accessible by a door code given to students at Orientation.

Erlanger Medical Library
UTHSC Medical Library at Erlanger is located on the 3rd floor of the Whitehall Building. The Library phone is 423.778.4798. It is staffed 8:30 a.m. - 4:00 p.m., M-F. Students, residents, fellows, and faculty have secure access via their proxy badges 24/7.

Student Medical Care
UTHSC students needing medical care or treatment while rotating in Chattanooga should contact UTC Student Health Services (423.425.2266) for an appointment. Identify yourself as a UTHSC medical student. UTC and UTHSC have an agreement whereby UTHSC medical students are not charged for basic medical services provided by Student Health.

Visiting students and UTHSC students may choose to seek medical care or treatment from the Erlanger Academic Internal Medicine (AIM) practice, located on the 6th floor of the Erlanger Medical Mall (Elevator B). You may also use an Erlanger Express Care (walk-in clinic) with several locations in the Chattanooga area. Call to confirm that your health insurance is accepted and be prepared to pay your plan's co-pay.

Other Information
Medical student overnight call rooms are available in resident call areas depending on the specialty. Your proxy badge will permit you access to these areas. Please ask your supervising resident if your rotation requires you to take overnight, in-house call. Showers and bathrooms are also available.

Prior to departing Chattanooga, you will receive a Student Clearance Form to complete. Your feedback is very important to us! PleaseÌý evaluate your rotation and overall experience. Then return your forms, badge, meal card, and parking pass to your department at checkout. These items must be returned before we can post your grades.

If you have any questions, contact your department's student coordinator or Ms. Nabors. You can also stop by the Office of Undergraduate Medical Education during regular business hours.

Dress Code

Erlanger has established a dress code policy for residents and medical students that outlines appearance as "neat, clean, and professional." Men should wear business-type slacks with a shirt and tie. Women should wear business-type attire such as slacks/skirt with a neat blouse or top. Shoes should be clean, closed-toe, and worn with socks. Athletic shoes are permitted.

Erlanger blue scrubs should only be worn in restricted areas of the hospital (ICU, Labor & Delivery, operating rooms). Violations of this policy can lead to infection control problems as well as depleting the hospital's supplies of scrubs for the operating rooms and ICU areas. Erlanger's dress code policy does not allow any employee to leave the hospital in scrubs.

UTHSC medical students are required to display the UTHSC Medical Student patch on their short white coats. This along with their Erlanger photo ID badge indicates their student status.

Medical students are responsible for laundering their own coats and jackets. Erlanger does not provide laundry service.

Medical students may get scrubs from ScrubX Machines in a specified location of the hospital using their Erlanger issued pin code. As scrubs are taken from the machines, they must be returned to the machines before more are issued. As part of the exit/clearance process, students must have returned all issued scrubs or pay $20 per scrub set.

Exposure to Blood or Bodily Fluids

UTHSC College of Medicine-Chattanooga Exposure/Needle Stick Protocol for Medical and PA Students

  • If an exposure/needle stick occurs, immediately notify your supervising faculty member and/or Clerkship/Course Director.
  • Seek assistance from the head nurse in the area where the exposure occurred or the Erlanger House Supervisor to assist in completing an Erlanger Exposure Form for Non-Employees. This form must be sent/given to Erlanger Infection Prevention and Erlanger ExpressCare/Employee Health.
      • To reach the House Supervisor/Erlanger Administrator on-call, call 423.778.6168. If there is no answer, call the Erlanger Operator at 423.778.7000 and ask for the House Supervisor.
  • The nursing supervisor, administrator on-call, or Erlanger Employee Health personnel are authorized to order baseline tests per Erlanger Health protocol (e.g., HIV, Hepatitis panel, etc.) on the student as well as the source patient at no charge to either the student or the patient. Erlanger Health will cover all initial evaluation costs (lab draw, lab processing/resulting, etc.) related to the exposure.
    • You may be directed to report to the Emergency Department for screening or treatment if the exposure event occurs between 4:00 p.m. and 8:30 a.m. Erlanger Employee Health opens at 9:00 am.
    • If the source patient is known to be positive for HIV or hepatitis, the nursing supervisor may direct immediate treatment as per Erlanger Health Exposure Protocol.
    • Lab reports will be sent to the Erlanger Employee Health Office when resulted. If directed to report to Erlanger Employee Health or the Emergency Department, bring a copy of the Erlanger Exposure form with you.
    • Erlanger Employee Health will give any follow-up care recommendations once all lab reports are reviewed. UTHSC COM-Chattanooga students are financially responsible for any necessary follow-up care resulting from the exposure event once initial lab evaluation is completed. This care is coordinated between UTHSC Student Health Services in Memphis, Erlanger Employee Health, Erlanger Infection Prevention, and UTHSC College of Medicine administrative offices.

Meals

Medical students are issued meal cards with limited funding up to $30 every two-week block for use in the Erlanger cafeteria and Starbucks in the Medical Mall. The cafeteria is located midway between the Erlanger Information Desk and the Post Office on the 1st floor and is open 6:30 a.m. - 8:00 p.m. daily. Students should wear their Erlanger photo ID badge and swipe the white meal card.

Snacks are available in the main Resident Lounge area (East Wing 7) after 5:30 p.m. daily. Snacks and frozen meals are available 24/7 in the Student Lounge (Massoud Building ground floor).

Medical Student Role in Patient Care Areas
  1. All orders written by medical students must be signed and cosigned by a resident or attending physician before the orders are implemented by Erlanger staff.
  2. All invasive procedures performed (except routine venipuncture) must be supervised by the responsible resident and/or attending physician.
  3. A resident or attending physician will be present for all physical examinations done by the medical student when such examination includes procedures of an invasive nature. (Invasive procedures exclude pelvic exams and IV therapy.) A nurse chaperone will assist and remain with the patient during all pelvic examinations.
  4. Policy and procedure information will be provided to the medical student as needed.
Pagers
Pagers are no longer typically assigned to medical or PA students. Please confirm this during your departmental orientation.
Parking

Medical and PA students may park in the main Erlanger parking garage (level 2 and above). More details about parking will be provided during Orientation.

Phone Calls

In-house calls can be made by dialing the last four digits of the Erlanger phone #.

Outside local calls can be made by dialing 19 from any Erlanger phone and then the local #.

Long-distance calls pertaining to medical student matters can be made from your department office or the Office of Medical Education.

Photo ID Badges

Medical students must wear their Erlanger-issued photo ID badges at all times. The badges are issued during orientation by the UME Office. Your badge identifies you as a medical student as required by both UTHSC and Erlanger policy. Your badge is important in assuring patients, families, and staff that you are a medical student who is adequately prepared to care for patients and is supervised by attending physicians.

Wear your photo ID badge in the Erlanger employee cafeteria to get the 10% discount on food from Sodexo stations. (The discount is not available at partner restaurants such as Chick-fil-A, Subway, or Starbucks.)

Post Office Boxes & Mail

Medical students may request a mail box for use during the rotation. Visit the Erlanger Post Office (1st floor, near the E elevator) or call the Erlanger Mail Clerk at 423.778.7249 for assistance.

Public Relations & Information to the Public

DO NOT GIVE OUT PATIENT INFORMATION TO THE PUBLIC!

The only Erlanger personnel authorized to release any information to the public about a patient are the Director of Public Relations, RNs, Nursing Supervisors, the Director of Nursing Service, and administrative representatives. Inquiries from news media should be referred to the Public Relations Office or the Vice President in charge. Requests for photographs of patients should be referred to the Public Relations Director. Written permission is always required from patients prior to any photographs being taken. If the patient is a minor, written permission from the patient or guardian is required.

Severe Weather Policy

UTHSC College of Medicine-Chattanooga follows the same inclement weather policies of UTC.Ìý

If the Chattanooga campus closes, then clinical rotations and classes are cancelled unless they can take place virtually. Students should monitor communications regarding the availability of virtual educational activities.

Clinical experience missed due to inclement weather when campus is CLOSED is considered an Excused Absence. No LLR form is needed.Ìý

  • In the event campus is closed for inclement weather lasting more than 2 days, the clerkship/course director may assign alternative experiences (e.g., virtual didactics and/or clinical make-up time) for which the student will be responsible for completing/attending.
  • In the event campus is closed, students may elect to attend clinical duties if the hospital or clinic is open and if they feel safe traveling, but this is at their discretion and not required.

Wellness days can be used for clinical experience missed due to inclement weather when campus is open.

  • This is to be documented by submission of the LLR form, indicating ‘weather’ as the reason for the absence.
  • In accordance with the Excused Absence and Wellness Days policy, a student missing more than 2 days of a rotation may be required to make up the missed time, at the discretion of the Clerkship Director. This is to ensure the student has sufficient exposure to obtain a fair and accurate clinical evaluation and acquire sufficient clinical experience.
UTC Recreation & Amenities

UTHSC medical and PA students who have paid their student activities fees can use the amenities at University of Tennessee-Chattanooga which include a large Aquatic and Recreation Center (ARC) with an indoor pool, lazy river, climbing wall, fitness studios, and outdoor equipment . The ARC is located less than 1 mile from Erlanger

Other amenities at UTC: eight lighted tennis courts, two indoor tennis courts, six modern racquetball courts, a gymnasium, library, and bookstore. For more info on using these facilities, please contact UTC at 423.425.4064 after your rotation starts.

Visiting Medical Student Guidelines

UTHSC College of Medicine offers elective opportunities available at its sites in Memphis, Knoxville, Chattanooga, Nashville, and Jackson for students from other medical schools.Ìý

Process to apply for a visiting rotation in Chattanooga:

  1. All visiting students must submit applicationsÌýthrough the platform. All U.S. allopathic and osteopathic Schools participate as do some international medical schools.Ìý Ìý
  2. The UTHSC College of Medicine-Chattanooga and UTHSC College of Medicine-Memphis Office of Medical Education will review visiting student applications submitted through VSLO and approve eligibility only for those meeting the criteria listed below.
  3. The application will be reviewed by the appropriate clinical department for final approval.

This policy will be applied in conjunction with the guidelines established in the UTHSC College of Medicine Visiting Student Policy #104 below:

Policy

The UTHSC College of Medicine will provide elective opportunities at its sites in Memphis, Knoxville, Chattanooga, Nashville and Jackson for students from other medical schools. This policy outlines eligibility criteria, procedural requirements and availability limitations for visiting students.

Eligibility and Procedures for Visiting Students

  • Eligibility for a visiting elective is based on academic qualifications:
    • A visiting student must be a candidate for the M.D. or D.O. degree in good standing in his/her final year of training at an accredited medical school or from institutions with which UTHSC has a formal exchange program;
    • A visiting student must have completed instruction in the basic history and physical examination, and have a working knowledge of general ward procedures;
    • All electives require that the student has completed five core clerkships;
    • A student must have met the prerequisites of the elective to which they are applying;
    • A student must have passed USMLE Step 1 or COMLEX Part 1
  • To be accepted as a visiting student, an individual must also:
    • Pass a criminal background check;
    • Pass a drug screen (completed within 6 months of rotation start date;
    • Carry malpractice/liability insurance coverage in the amount of $1 million per incident and $3 million aggregate, through his/her home institution or other acceptable sources;
    • Have health insurance;
    • Have been immunized against measles, mumps, rubella, polio, tetanus, diphtheria, pertussis, influenza, varicella and hepatitis B;
    • Have two negative TB skin tests in the prior 12 months, and undergone TB mask fitting;
    • Have been certified in CPR within the past year;
    • Have completed HIPAA compliance and security training
  • Electives will be made available to visiting students only after all UTHSC students have been scheduled which may occur up until 30 days before the start of the rotation. In aggregate, the elective experience for a visiting student at all campuses is limited to a maximum of 12 weeks during a medical school career.
  • Any exception to this policy must be approved by the Dean of the respective COM campus at the recommendation of the Department Chair (or his/her designee) who will assume responsibility for verifying that the above requirements have been met.
  • Academic credit for the elective will be awarded by the visiting student’s home institution. No academic credit will be awarded by UTHSC.Ìý

Students who are regularly enrolled in another medical school and paying tuition at that school are currently not charged tuition at the University of Tennessee for brief elective periods. This policy may change in the future, and the school reserves the right to charge tuition at any time.

Criminal Background Check
If your school already requires a criminal background check via VSLO, the UTHSC College of Medicine requires you to submit a copy to the Office of Medical Education in Memphis.
